CS MAILsweeper for SMTP 4.3 Service Pack 2
(CS MAILsweeper for SMTP 4.3.12 including Technology Update Version 1.4.10)
This document describes this service pack for CS MAILsweeperTM for SMTP 4.3 and explains how to install it. It also identifies the issues that have been addressed in this service pack and describes any known problems, suggesting workarounds to enable you to avoid them.
This ReadMe is one of a set of release documents, which provide information specific to this release of CS MAILsweeper for SMTP 4.3. For example, new features and enhancements to the software functionality and the documentation are described in the New Features in this Release release document. CS MAILsweeper for SMTP 4.3 Service Pack 2—that is CS MAILsweeper for SMTP 4.3.12 including Technology Update Version 1.4.10—updates Version 4.3.x and Version 4.2_x of CS MAILsweeper for SMTP. Service Pack 2 is cumulative: it includes previous Version 4.3 service packs, patches, and hot fixes as well as some additional fixes to reported problems.
You can obtain the Service Pack 2 download file from our website. You can install CS MAILsweeper for SMTP 4.3 Service Pack 2 on a clean system, or you can upgrade an existing CS MAILsweeper for SMTP system.

You can install MIMEsweeper scenarios for third-party antivirus tools either when you install CS MAILsweeper for SMTP 4.3 Service Pack 2 or afterwards. You do not have to visit our website to obtain the latest MIMEsweeper scenarios, although you must still obtain and install the third-party antivirus tool separately. Contact your local AV tool vendor for product availability in your region. For further information, including details of the antivirus tools supported with this version of CS MAILsweeper for SMTP 4.3, see the Supported Environments and Tools release document. Before installing or upgrading to CS MAILsweeper for SMTP 4.3 Service Pack 2, ensure that the machine on which you intend to deploy CS MAILsweeper has the required hardware and software installed and configured. For details of the prerequisites for installing and running CS MAILsweeper for SMTP 4.3 Service Pack 2, see the Prerequisites release document.
The CS MAILsweeper for SMTP 4.3 Service Pack 2 installation program installs a full CS MAILsweeper for SMTP 4.3 product, including all previous service packs (Service Pack 1) and subsequent patches (4.3.7 through 4.3.11) and hot fixes. You can upgrade from MAILsweeper for SMTP Version 4.2_x or CS MAILsweeper for SMTP 4.3.x directly to CS MAILsweeper for SMTP 4.3 Service Pack 2 .
If you are installing CS MAILsweeper for SMTP 4.3 Service Pack 2 on a clean system, follow the "Initial installation" instructions in the Installation chapter of the MAILsweeper for SMTP 4.3 Reference.

CS MAILsweeper for SMTP 4.3 Service Pack 2 must be installed on a Windows 2000 or 2003 operating system. If you are running a distributed deployment of CS MAILsweeper, it must be installed on a Windows 2000 operating system. For full details of the operating systems supported for your planned deployment of CS MAILsweeper for SMTP 4.3 Service Pack 2, see the Prerequisites release document.
If your MAILsweeper for SMTP Version 4.2_x system is installed on Windows NT and you wish to move to CS MAILsweeper for SMTP 4.3 Service Pack 2 on Windows 2003 Server, you are strongly advised to create a a clean installation as follows:
This method is likely to be quicker and easier—and therefore more cost effective—than the alternative multi-stage upgrade path requiring intermediate installations of CS MAILsweeper and Windows 2000. It will also enable you to take full advantage of the new features and functionality in CS MAILsweeper for SMTP 4.3, such as new scenarios and wizards.

Before upgrading to CS MAILsweeper for SMTP 4.3 Service Pack 2, you are recommended to back up your existing MAILsweeper for SMTP Version 4.2 license (licences.txt). By default this file is located under C:\Program Files\Common Files\Content Technologies. If problems occur during an upgrade to Service Pack 2, you can reinstall and license your Version 4.2 system.
After upgrading to SP2, you must install the new CS MAILsweeper for SMTP 4.3 license you obtained from your CS MIMEsweeper reseller or account manager.

During an upgrade from Version 4.2_x to CS MAILsweeper for SMTP 4.3 Service Pack 2, the installer changes some configuration files:
When upgrading the configuration files, the Service Pack 2 installer converts the account names of Windows user and groups which have been assigned access permissions to CS MAILsweeper services and message areas to language-independent Security IDs (SIDs). Windows 2000 and 2003 assign a unique SID to each user, group, or domain account.
This conversion can fail if the Windows security environment has changed. The conversion also can fail if account entries are ambiguous or invalid, but this is only likely if users have manually edited their CS MAILsweeper configuration files.
You can minimize potential upgrade problems by ensuring that the user and group name entries in your configuration files have been written by the CS MAILsweeper Policy Editor and that they are currently valid. To do this:
If the user or group name is not displayed in the Select Users or Groups dialog box, the removed name may have been invalid or out of date.

You assign access permissions for individual messages areas in the Permissions tab of the properties page for the message area. If any users or groups are missing, add them and assign the desired access permissions.
If the default TCP/IP port 25 is already assigned on the computer on which you've installed MAILsweeper for SMTP 4.3 Service Pack 2, also see section Conflicts using TCP/IP Port 25.

You are recommended to back up your CS MAILsweeper license (licenses.txt) before upgrading your CS MAILsweeper system. By default the license file is located under C:\Program Files\MAILsweeper for SMTP\Program.
Otherwise, there are no special preparations required for upgrading from Version 4.3.x to Service Pack 2.

During an upgrade to Service Pack 2, the CS MAILsweeper for SMTP installer creates a Config Backup folder to save the current configuration information. By default, this folder is located under
C:\Program Files\MAILsweeper for SMTP\Config Backup\.
If problems occur during an upgrade to Service Pack 2, the Service Pack 2 installer automatically rolls back to your original CS MAILsweeper for SMTP installation.
In the unlikely event that the installer does not correctly roll back your system, you can use the Config Backup folder to fully recover your original CS MAILsweeper system. Before following the recovery procedure, back up the contents of the Config Backup folder and your license file.
To manually recover your original CS MAILsweeper system after an upgrade problem that the installer could not correct:

In Service Pack 2, including patches issued since Service Pack 1, the following issues regarding Classifications and Actions were addressed:
This action now archives detected messages in the following format if this option is specified: The archived copy of the message has a blank body and one or two attachments. The first attachment is the message being archived. If any text analysis results are available, these are contained in a second attachment.
If the Include text analysis option is not specified, the copy of the archived message is in the same format as the message from which it was copied.
This action now archives messages in their modified form if this option is specified.
This memory leak has been fixed.
The date coding has been changed to ensure that the offset to GMT is formatted correctly in such notification messages.

In Service Pack 2, including patches issued since Service Pack 1, the following issues regarding data type detection were addressed:
During recursive disassembly, CS MAILsweeper assigns a numerical value to each message component it identifies, which you can view in the Item Name field in the General tab of the properties page for a message component listed in the Analysis tab of the Message Viewer. If this Item Name is of a format that matches the file mask specified in the File Detector scenario, CS MAILsweeper could incorrectly detect a message component rather than the desired file type. For example, if CS MAILsweeper assigned the numerical value 0.1.5.4 to the BODY component of a message, and a file mask of *.*.* was specified in the File Detector scenario, CS MAILsweeper would match the body text of the message rather than the double file extension intended by the file mask.
CS MAILsweeper has been changed so that the default item name is no longer the above numerical value, so the file mask does not detect CS MAILsweeper-assigned values.
RAR support has been updated to handle archive files created with with versions of RAR up to version 29.
ZIP data type detection has been improved to ensure that extra ZIP directories are identified and handled correctly.
MPEG data type detection has been improved to detect MPEG Transport Streams as well as Program Streams.
PGP data type detection has been improved to ensure this file type is correctly identified.
Such files are now assigned to the appropriate classification.
Data type detection has been improved to ensure that attachments are classified correctly.

In Service Pack 2, including patches issued since Service Pack 1, the following issues regarding the MAILsweeper for SMTP Console were addressed:
If you have defined multiple aliases, you can determine the sequence in which they are checked for a match by changing the order that they appear in the list of aliases.
The font size for alternative character sets has been changed to ensure that they are displayed at a readable size.
An additional DNS response has been added to the set of responses treated as a DNS lookup failure.
user@location format). As a result, if just a user element of the address was required in the Map from field, the alias could not be saved. The validation has now been corrected.
A user only entry in the Map from field matches the default domain and any configured synonym domains.
Take for example, a company with a default domain of inside-yourcompany.com and three configured synonym domains of syn1.com, syn2.com, and syn3.com. If the following alias is specified:

then the following addresses are matched by the above alias:

The default font has been changed to ensure that such characters are correctly displayed.
Back to Issues addressed in Service Pack 2
In Service Pack 2, including patches issued since Service Pack 1, the following issues regarding scenarios and message processing were addressed:
The File Blocker scenario now correctly identifies such file names.
These disclaimer scenarios now add annotations to the appropriate MIME part of the email message.
Base 64-encoded body text is now identified as BODY, so disclaimers can be added by the Legal Disclaimer and Commercial Disclaimer scenarios. Note that if the item has an associated filename or is marked as an attachment, CS MAILsweeper will not mark the text as BODY text, so disclaimers will not be added.
This scenario has now been fixed.
As a result of these changes, the behavior of the Attachment Stripper scenario upon detecting certain format types that appear outside of an attachment has changed from CS MAILsweeper for SMTP 4.3.6 Service Pack 1. For detailed information on the effect of these changes, see the Technotes under the (Support page) of the MIMEsweeper website.
Such RTF files are now processed correctly.
Under some exceptional circumstances, such messages were placed in the Recovery folder and the Security service stopped processing messages that were queued in the Unchecked folder. Additionally, the Windows Application Event Log contained entries for errors 106 and 107.
CS MAILsweeper now correctly handles such messages.
Such messages are now processed as bad data and CS MAILsweeper returns the following error message:
There are insufficient bytes in the buffer
Such subject lines are now handled correctly.
CS MAILsweeper now correctly detects embedded messages at all levels within a message.
This problem has been fixed.

In Service Pack 2, including patches issued since Service Pack 1, the following issues regarding SMTP Relay were addressed:
BlockBlankReturnPathDomain option in the mailswp.cfg configuration file. This configuration file option was documented in the Advanced Configuration release document.
You can now configure this behavior in the user interface by selecting the Block unspecified domains in sender address option in the Receiver Service tab in the SMTP Relay Properties page. By default, this option is cleared. If you select this option, you must then restart the Receiver service for the configuration change to take effect.
The Delivery service DNS look-up mechanism has been changed to avoid failures caused by premature completion of the look-up process before all configured DNS servers had been tried.
Users with a valid support agreement can obtain more details on DNS configuration issues and their solutions in TechNote 1253 available from the Support page of the MIMEsweeper website.
CS MAILsweeper for SMTP no longer folds such message IDs in email message headers.

From Service Pack 1, you can configure how strictly CS MAILsweeper adheres to SMTP standards regarding rules on the expected formatting of MIME messages.
At CS MAILsweeper for SMTP 4.3, security was tightened to ensure close adherence to SMTP standards defined in RFC documents (RFCs). Messages that were not RFC compliant, and so posed a potential threat, were blocked by default. As a result, customers who upgraded from previous versions of CS MAILsweeper experienced an increase in the numbers of messages placed in the Undetermined Messages quarantine area. While this change provided a higher level of security, it did increase the management overhead for CS MAILsweeper administrators dealing with the increased number of undetermined messages.
In Service Pack 1, the default security level was lowered to reduce the number of undetermined messages caused by non RFC-compliant messages. However, users who want to ensure a higher-level of security for such messages can manually change the default security level. For details on configuring the security level for non RFC-compliant messages, see the Advanced Configuration release document.

The Service Pack 1 installer addressed the following upgrade issues:
format.cfg configuration file in a Version 4.2_x system had been modified on a date after the time stamped date of the file in the Version 4.3 setup program, the installer assumed that the file did not need to be upgraded. During an upgrade from Version 4.2 to CS MAILsweeper for SMTP 4.3 Service Pack 1, the installer correctly upgraded the format.cfg file for Version 4.3.Back to Issues addressed in Service Pack 1
Problems exist in the following areas of this release of CS MAILsweeper for SMTP 4.3:
The MAILsweeper for SMTP Reference is not being updated for Service Pack 2 . Therefore, changes to prerequisites and new features and enhancements, which are documented in the Service Pack 2 release documents will not be reflected in the manual.
For example, Service Pack 2 now supports Microsoft Windows 2000 and 2003 environments; however the MAILsweeper for SMTP Reference still contains references only to Windows 2000 operating systems. For instance, the SMTP Alerter section in the Policy Configuration (Stand-alone) chapter refers to the Microsoft Collaboration Data Objects (CDO) for Windows 2000. CDO is still installed and configured by default on Windows 2003 computers. For details on changes to features and functionality supplied with the Windows operating system between 2000 and 2003, see your Microsoft Windows documentation.

If after installing CS MAILsweeper for SMTP version 4.3 Service Pack 2 on Microsoft Windows Server 2003 you do not add your product license before rebooting your PC, when Windows Server starts up it displays error messages and records entries in the Windows Application Event Log.
This occurs because by default the startup type for each of the CS MAILsweeper services is set to Automatic, but the services cannot be started until the product is licensed. You can safely ignore the Windows error messages—do not select the option to send an error report to Microsoft. Once you have licensed your CS MAILsweeper product, these Windows error will no longer be displayed.

If when you installed a distributed deployment of MAILsweeper for SMTP 4.2_5, you selected the option to rename the file server share, then when you upgrade to CS MAILsweeper for SMTP 4.3 Service Pack 2 you will have two shares pointing to the same location.
Both shares are required for the continued operation of your CS MAILsweeper for SMTP 4.3 Service Pack 2 system; do not delete either share.

If you are installing a new CS MAILsweeper for SMTP 4.3 Service Pack 2 system on a machine in a distributed deployment and select the Custom installation type, the Anti-Virus Scenarios wizard page is not displayed.
If you do not subsequently manually install an antivirus scenario on that CS MAILsweeper machine, be aware that an email message that poses a threat could enter your organization's email system.
To install any required antivirus scenarios after completing the Service Pack 2 installation:
| Warning: | After installing the required antivirus scenarios, you must reboot your PC. This completes the installation and registration of the CS MAILsweeper program files required for viewing the text analysis results of messages processed against the antivirus scenario. |
If you are upgrading to CS MAILsweeper for SMTP 4.3 Service Pack 2 from Version 4.2_5 or later, any previously installed antivirus scenarios are automatically updated and do not need to be manually installed after upgrading to Service Pack 2 .

If you leave the CS MAILsweeper services running during an upgrade to CS MAILsweeper for SMTP 4.3 Service Pack 2, you are prompted to stop the services and set their startup type to Manual.
This is done to avoid the potential of an unsuccessful installation if the services do not respond properly to the installer's shutdown request. Setting the services to manual startup also avoids potential installation problems if the CS MAILsweeper services automatically start following a reboot.
If required for normal system operation, you can configure the CS MAILsweeper services to start automatically. After the CS MAILsweeper for SMTP 4.3 Service Pack 2 upgrade has successfully completed, ensure that the services start correctly with the upgraded configuration data. You can then set the startup type for each of the CS MAILsweeper services to Automatic.
You configure the Startup type in the General tab of the properties page for each CS MAILsweeper service in the Windows Services dialog box. For details, see your Microsoft Windows documentation.

If you are upgrading to Service Pack 2 a CS MAILsweeper 4.3.x system on which you had created a Virus Manager or Executable scenario using the McAfee command line third-party antivirus tool, the following warning message is displayed:
The following Virus Manager and Executable scenarios are currently configured to use applications that are unsupported by this version of CS MAILsweeper for SMTP <scenario_name>.
This message is caused by an inconsistency in the antivirus tool name in the installer and the relevant configuration files. You can safely ignore this warning; press Next to continue with the upgrade installation. The upgrade completes successfully with no adverse effect on the configuration or operation of the specified scenarios.

This issue applies to upgrades from either MAILsweeper for SMTP Version 4.2_x or CS MAILsweeper 4.3-x.
If you are upgrading to Service Pack 2 from a MAILsweeper system on which you had created a text analysis scenario, an upgrade error message may be displayed if the referenced Expression List specifies an expression that contains parentheses ().
Expression Lists can be referenced in a Commercial Disclaimer scenario or a Text Analyzer scenario. An expression list can specify either a simple phrase or a compound phrase to be detected during text analysis. A compound phrase consists of multiple words and phrases connected by expression operators (such as .AND. , .OR. , or .NEAR. ). If more than one expression operator is used in an expression, parentheses can be used to control the evaluation order or to make the expression easier to read. For example, the compound phrase:
better .AND. (faster .OR. cheaper)
searches for the keyword better with either the keyword faster or the keyword cheaper. For full details on expression lists, see the MAILsweeper for SMTP help.
If an upgrade error message showing a compound phrase that contains parentheses is displayed, click OK. A warning message similar to the following is displayed:
The following expression in the expression list <Expression List Name> has errors:
"better .AND. (faster .OR. cheaper)"
Please amend the expression after the installation has completed.
For the purposes of installation, you can safely ignore this warning; press OK to continue with the upgrade installation. The upgrade completes successfully.
After the upgrade is complete, you are recommended to check that the expression in question has been correctly specified in the Expressions tab in the properties page for the specified Expression List. You configure Expression Lists in the References folder under the Policy Editor in the MAILsweeper for SMTP Console. You can confirm that the expression is valid by testing that the text analysis scenario processes messages with the expected results.

Installing or upgrading to CS MAILsweeper for SMTP 4.3 may cause problems if the default TCP/IP port 25 is already being used by an existing SMTP connection:
After installing CS MAILsweeper for SMTP, you are recommended to check that the specified host machine is not already running the SMTP services, and does not conflict with any other SMTP connections assigned to TCP/IP port 25. In the event that CS MAILsweeper for SMTP is connected to a conflicting SMTP service you can:
If you are upgrading to CS MAILsweeper for SMTP 4.3 from a Version 4.2_x system installed on Windows NT you must first migrate your operating system to Windows 2000 or 2003 (for details see Upgrade preparations from MAILsweeper for SMTP Version 4.2_x).
Should you upgrade your operating system from Windows NT rather than installing Windows 2000 or 2003 on a clean computer, you may encounter the following problem. During the operating system upgrade, Windows allocates TCP/IP Port 25 to the Windows Simple Mail Transport Protocol (SMTP) Service, and starts the service. When you then upgrade to CS MAILsweeper for SMTP 4.3, the Windows SMTP Service can prevent the CS MAILsweeper for SMTP Receiver service using Port 25, and CS MAILsweeper for SMTP cannot receive incoming mail.
To correct this, stop and disable the Windows SMTP Service and restart the CS MAILsweeper for SMTP Receiver service. For more information about disabling the Windows SMTP Service, see your Microsoft Windows Help.

If you upgrade to CS MAILsweeper for SMTP 4.3 the CS MAILsweeper for SMTP Receiver, Security, and Delivery services are configured to run on the Windows Local System Account. If you want the CS MAILsweeper for SMTP services to run on a separate account, you must reconfigure the CS MAILsweeper for SMTP services.
You configure the account for the CS MAILsweeper Receiver, Security, and Delivery services in the Log On tab on the Properties page for each CS MAILsweeper for SMTP service in the Windows Services dialog box. For more information on configuring services, see your Microsoft Windows Help.

If you have the PORNsweeper plug-in product installed, when you upgrade to CS MAILsweeper for SMTP 4.3, the installer removes PORNsweeper from the computer and disables any PORNsweeper scenarios. When you install the IMAGEmanager plug-in product, PORNsweeper scenarios are automatically re-enabled.
There are no known issues when you upgrade MAILsweeper for SMTP with the IMAGEmanager plug-in product installed or when you upgrade from CS MAILsweeper for SMTP 4.3.x.

This section lists problems you may experience with the MAILsweeper for SMTP Console and explains how to resolve the problems.

Upgrading to Microsoft Management Console (MMC) 2.0, supplied with Windows 2003 operating systems, may cause problems in a MAILsweeper for SMTP Console created in an earlier version of MMC:
.msc file to MMC 2.0. It is possible to work with an MMC 1.2 file in MMC 2.0; however, each time you close the console you will be prompted to save the file to MMC 2.0.
When you save an existing console to MMC 2.0, it retains previous user changes, such as window resizing. Once the converted file is saved, the earlier format cannot be restored.
New Classification is selected, enabling you to immediately change the name to one of your choosing. In MMC 2.0, the new classification name is not selected for editing.
You can rename a new classification in MMC 2.0 by right-clicking the item and selecting Rename from the displayed context menu.
You can delete an item in MMC 2.0 by right-clicking the item and selecting Delete from the displayed context menu.

Consoles created for MAILsweeper for SMTP Version 4.2_5 are not compatible with CS MAILsweeper for SMTP 4.3.
If you create a console with MAILsweeper for SMTP Version 4.2_5, by default it is saved as a .msc file in the Administrative Tools folder in Windows Control Panel. You are recommended not to use the console created for MAILsweeper for SMTP Version 4.2_5 with CS MAILsweeper for SMTP 4.3. The console changes between the two versions are not compatible.

The default name for Policy snap-in does not specify the remote administrator machine.
After you complete the installation of CS MAILsweeper for SMTP in a distributed deployment, you must install the MAILsweeper for SMTP Policy snap-in on a remote administrator machine. When you add a Policy snap-in to a remote administrator machine, the default name of the added Policy snap-in is localhost rather than the remote administration machine.
To add the Policy snap-in:
The added snap-in is displayed in the Add/Remove Snap-in page as MAILsweeper for SMTP Policy on localhost. In this instance the local host is the remote administration machine, it is not the CS MAILsweeper server.

The following problems can occur when you configure exclusive scenarios:
To create a scenario using the property pages, you must turn off the item, component, or Policy wizards.
You are recommended to check that only one exclusive scenario has an Enabled setting of Yes in any folder within a hierarchy of folders. The current state of a scenario is displayed in the details pane in the Enabled column, which is marked Yes if the scenario is on, or No if the scenario is Off. In the Recent Messages folder, when you set the Subject column to on (see below), the message data is refreshed and displayed immediately but the column heading itself is not.
To display the Subject column heading, you must refresh the display:
Both the Subject column heading and the message data are displayed.

You may experience problems with CS MAILsweeper for SMTP message processing when your server is running under a heavy load.
If your PC starts to run out of resources, CS MAILsweeper may place processed messages in the Undetermined Messages folder under the Message Areas folder in the MAILsweeper for SMTP folder in the Management snap-in.
If this happens, you can reprocess these messages as follows:

The Windows 2003 Performance Monitor can log or display CS MAILsweeper for SMTP performance counters on either a local or remote CS MAILsweeper machine.
It may appear as though the Windows 2003 Performance Monitor has not started when it is first started or when there is little or no change in the values of the CS MAILsweeper performance counters. The Performance Monitor does log and display the CS MAILsweeper performance counters when CS MAILsweeper activity increases the value of the counters sufficiently. Therefore, this problem is less likely to be observed on a busy CS MAILsweeper system.
This problem does not occur on any of the supported Microsoft Windows 2000 operating systems.

Check for adequate disk space before saving policy configuration changes.
You must ensure that you have adequate disk space before saving policy configuration changes. For details of disk space requirements, see the Prerequisites release document. If you do not have adequate disk space, policy configuration changes are not saved. CS MAILsweeper for SMTP may not issue an error message about why changes cannot be saved, and in some instances the MAILsweeper for SMTP Console may shut down.

CS MAILsweeper for SMTP Reports data cannot be exported to HTML 3.0 format in a Windows 2003 environment. The HTML 3.0 (Draft Standard) format type is not displayed in the Format list in the Export dialog box. The HTML 3.2 and HTML 4.0 format types are available in Windows 2003. The Attachment Stripper scenario incorrectly classifies detected messages when it is configured to strip all documents. That is, the following options are set in the specified tabs in the scenario properties page:
Messages with document attachments are correctly classified if the scenario is configured to strip on size. That is, the Strip attachments greater or equal to option is selected on the Size tab of the scenario properties page.
